Last updated · 5 October 2026
We take the protection of your personal information seriously. This policy explains, in plain terms, what we collect, why, who we share it with and the choices you have.
Overview
Squad Holdings Pty Ltd, trading as Squad HQ, understands the importance people place on their personal information. Personal information we collect is treated with the appropriate degree of privacy and confidentiality.
You will be referred to throughout this Privacy Policy as “you” or “your”. Squad Holdings Pty Ltd will be referred to as Squad HQ, “us”, “we” or “our”.
This Privacy Policy explains how we may collect, store, use and disclose your personal information. It takes into account the requirements of the Privacy Act 1988 (Cth) and the Australian Privacy Principles, and should be read together with any other terms that appear on or are linked from our website (www.squadhq.com.au) and our services, including our squads and Ads Labs (together, our “Services”).
Personal information we collect
The types of personal information we may collect about you include:
- your name, job title and the business you work for;
- your contact details, including your email address and phone number;
- details you give us in an enquiry or demo request, such as the squads you’re interested in, the brands you sell, your region and your message to us;

- information about your business and its customers that you or your business give us access to when we set up and run a squad for you, as set out in our agreement with your business; and
- any other personal information you provide to us, or that a third party provides with your consent.
We may collect these types of personal information directly from you or from third parties, such as a colleague who refers you or a partner you ask to put you in touch with us.
Collection and use of personal information
We may collect, hold, use and disclose personal information for the following purposes:
- to respond to your enquiry, book a demo or call, and contact and communicate with you;
- to provide our Services, including setting up, running, coaching and improving the squads we build for your business;

- to keep our website and Services secure, including preventing abuse and spam; and
- to comply with our legal obligations and resolve any disputes that we may have.
Our Ads Labs and AI processing
When you use one of our Ads Labs (for example, the Dealer Ads Lab), we read the publicly available pages of the website you enter, including its stock listings, to write and design ads for that business. We may also check public ad libraries, such as Google’s Ads Transparency Center, for that business.
To do this we use artificial intelligence services from third-party providers, including Anthropic (text) and OpenAI (images). The website content and the details you enter are sent to those providers to generate the results. We don’t send them your contact details for this purpose, and we use these providers under terms that don’t allow them to use our data to train their models.
Please only enter a website you are authorised to act for, and don’t enter other people’s personal information.
Storage and security
We are committed to ensuring that the personal information we collect is secure. To prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard personal information and protect it from misuse, interference, loss and unauthorised access, modification and disclosure.
We keep personal information only for as long as we need it for the purposes above or as required by law, and then delete or de-identify it. Short-term security data, such as the IP addresses we use to limit misuse of our Ads Labs, expires automatically.
We cannot guarantee the security of any information transmitted to or by us over the internet. Although we take measures to safeguard against unauthorised disclosures, we cannot assure you that the personal information we collect will never be disclosed in a manner inconsistent with this Privacy Policy.
Disclosure of personal information to third parties
We may disclose personal information to:
- third-party service providers so they can provide their services to us, including website hosting (Vercel), customer relationship management (HubSpot), email delivery (Resend), data storage (Upstash), AI services (Anthropic and OpenAI), advertising and measurement (Meta), website analytics (Microsoft Clarity) and other IT, data storage and professional service providers;
- our employees, contractors and related entities, including Zib Digital Pty Ltd;
- our existing or potential partners, such as the regional partner you ask to speak with, or a partner involved in delivering a squad to your business;
- anyone to whom our business or assets (or any part of them) are, or may in good faith be, transferred; and
- courts, tribunals, regulatory authorities and law enforcement officers, as required by law, in connection with any actual or prospective legal proceedings, or to establish, exercise or defend our legal rights.
We do not sell your personal information.
Overseas disclosure
Some of the service providers listed above store or process information outside Australia, mainly in the United States (including Meta, Microsoft, HubSpot, Vercel, Resend, Anthropic, OpenAI and Google). We take reasonable steps to ensure these providers handle personal information in a way that is consistent with the Australian Privacy Principles.
Where we disclose personal information to an overseas recipient, you acknowledge that the recipient may not be regulated by the Privacy Act and the Australian Privacy Principles, and that if it engages in an act or practice that contravenes the Australian Privacy Principles, it may not be accountable under the Privacy Act and you may not be able to seek redress under the Privacy Act.

It means information relating to your racial or ethnic origin, political opinions, religion, trade union or other professional associations or memberships, philosophical beliefs, sexual orientation, sexual practices or sex life, criminal records, health information or biometric information.
We don’t ask for sensitive information through our website, and we ask that you don’t include it in forms or Ads Labs. If we do hold sensitive information with your consent, it will only be used and disclosed for purposes relating to the primary purpose for which it was collected, or as required or authorised by law.
